How to convert a quotation into a sales order and invoice

The slowest part of most sales workflows isn't writing the quote — it's rekeying it into an order, then again into an invoice. VynSales removes that by converting documents in place.

1. Convert the quotation to a sales order

Open the approved quotation and choose Convert to sales order. VynSales copies every line item — product, quantity, unit of measure, price, and discount — as a snapshot. The order reflects exactly what the customer agreed to, even if you later change a product's master price.

2. Fulfil the order

Work the order as normal. Stock is checked on fulfilment, so you can't oversell what you have.

3. Convert the order to an invoice

From the sales order, choose Convert to invoice. Again, the line items carry over as a snapshot. Add invoice-specific details (due date, terms) and issue it.

4. Why snapshots matter

Because each conversion freezes the line items, your quote, order, and invoice always agree. No drift, no "the invoice doesn't match the quote" disputes, no double entry.

5. Get paid

Record a bank transfer manually, or send an online payment link so the customer can settle by card or local gateway.
