How to create your first quotation in VynSales
A quotation is usually the first document you send a customer, so it should be fast to build and clean to read. Here is how to create one in VynSales.
1. Open a new quotation
Go to Quotations → New. Pick the customer from your list — their billing details and any per-customer pricing come across automatically. If the customer doesn't exist yet, create them first under Customers → New.
2. Choose a price book (optional)
If you maintain different pricing for segments or contracts, select a price book. VynSales then fills each line's unit price from that book instead of the product's base price. No price book? It uses the product's default price.
3. Add line items
For each line:
- Pick the product — the description, unit price, and unit of measure auto-fill from the item master.
- Adjust quantity, override the price or UOM if needed, and add a line discount.
Totals recalculate as you type, so the figure the customer sees is always current.
4. Add notes and save
Add any terms or notes, then save. Your quotation gets a number and a clean, branded layout ready to send.
5. What happens next
When the customer agrees, you don't rebuild anything — convert the quotation to a sales order, then an invoice, and VynSales copies the line items forward as a snapshot. See how conversion works.
