What is a quotation?

A quotation (or quote) is a formal offer from a seller to a buyer listing goods or services at stated prices, valid for a period of time. It is not a demand for payment — it's a proposal the customer can accept, reject, or negotiate.

What a quotation includes

  • The customer and seller details
  • Line items: product or service, quantity, unit of measure, unit price, and any discount
  • Subtotal, tax, and total
  • Validity period and terms

Quotation vs invoice

A quotation is sent before a sale to propose terms. An invoice is sent after goods or services are agreed and requests payment. In between sits the sales order, which confirms what the customer agreed to buy.
